Supporting a Clinical LIMS Enhancement for a Global Biopharmaceutical Company

In this case study, we dive into a recent Clarkston project, where our LIMS experts helped with supporting a clinical LIMS enhancement for a global biopharmaceutical client.

The client, a well-known global, R&D-driven biopharmaceutical company focused on Vaccines, Gastroenterology, Neuroscience, Rare Diseases, Oncology, Genetics, and Hematology, engaged Clarkston’s LIMS experts to aid with the continued development and enhancement of their Clinical Development LIMS within their Vaccines R&D Business Unit.  

This engagement included helping with configuration and technical development as well as supporting the client’s validation activities. In addition, the Clarkston team recommended best practices, enhanced end-user experience, and carried out improvements to the current state of LIMS with the assistance of a unit-wide LIMS survey.  

An 18-point questionnaire was used to ascertain the end-user experience. Most respondents saw a lot of strengths of the system, particularly with tracking and searching for samples and its shareability among the different departments, but expressed that the system was lacking in performance and ease of use. Analysis of the responses showed that very few users would highly recommend the system to others. This reflected their own view of the solution; therefore, efforts had to be made to determine the reasons for such responses and how to improve the user experience.  

Clarkston embarked on a change management exercise to determine the root cause of end user system dissatisfaction and work to change perception. Out of the recommendations, 16 incident tickets were created to address these issues during the project engagement. Notably, among the responses were: (1) elimination of rarely used, unclear, and redundant functions in taskbars, thereby simplifying user interaction with the system; (2) focus on back-end enhancements to increase processing speed to eliminate long loading times, especially when generating new samples; (3) removal of number of challenges with Assay request functionality; (4) focus on improving overall ease of use or understanding of workflows; and (5) difficulty with sample storage management in general.  

Toward the end of the engagement, through multiple trainings and close collaboration, Clarkston was able to improve system perception. As a result, end users recognized the strengths of the LIMS for use of visual workflows and in general performance.
