Best Practices for Leveraging SAP Enable Now: Lessons Learned from End Users

In this piece, we share a compilation of best practices for leveraging SAP Enable Now, sharing lessons learned from end users and discussing training content organization and strategies to help elevate your organization’s training initiatives. Below, explore actionable tips, tricks, and strategies that have proven effective in training creation and delivery.

To enable means to empower individuals by providing them with the necessary skills, resources, and support they need to be successful in their endeavors. SAP Enable Now is a comprehensive solution that enables SAP end users to be successful through training and support that establishes knowledge and confidence when navigating the SAP landscape, providing a platform to create, maintain, and deliver training materials.

With the vast capabilities of SAP Enable Now, it’s important to create a roadmap for training development and utilize best practices for a seamless transition, from training creation to training delivery and eventually to sustainability of training materials. Planning ahead and following best practices will ensure a smooth transition throughout the training process.

Below, we highlight recommended steps and best practices for leveraging SAP Enable Now – based on lessons learned from end users – to ensure a successful training journey.

Steps to Develop Comprehensive Training

SAP Enable Now’s environment is set up in a way that allows easy integration with other training tools, which helps to enhance the overall training experience. Some notable integrations with SAP Enable Now include PowerPoint, Excel, SharePoint, and LMS (Learning Management System). Below, we will outline some step-by-step recommended best practices on how to create training materials, covering opportunities to utilize and integrate these platforms to enhance the development and overall training experience.

Recommended steps for creating all-encompassing trainings are as follows:

  1. Create slide decks using Microsoft PowerPoint. Slide decks could include business process information, terminology, process flows, and any other vital information to help end users understand nuances, exceptions, and the “why” behind the training. It’s easier and a best practice to build slide decks outside of SAP Enable Now and then upload them into the system.
  2. Record simulations in SAP Enable Now using the recording feature. Note that SAP Enable Now offers the option to voice record if you choose to do so. Voice recordings can be turned on and off as desired.
  3. Edit the recorded simulations to include tips and tricks, share helpful notes, and adjust display times for each slide. Ensure that you edit all the desired modes (practice, demonstration, and test).
  4. Create interactive quizzes in SAP Enable Now to serve as a knowledge check following the demonstration and practice simulations. A required passing score can be set for the quizzes. Companies have the option to focus strictly on attendance or track scores and feed them into an LMS to ensure material comprehension.
  5. Once all the simulations and quizzes are complete, embed them into the slide decks that have already been uploaded.
  6. If there are other training resources you want to include in the training decks, link them within the existing decks. These resources could include links to introductory decks within SAP Enable Now, Excel spreadsheets, or hyperlinks. Embedding these resources will allow them to be housed in one accessible location.
  7. Once all training decks in SAP Enable Now are complete, publish their links to one central repository (such as a SharePoint site) for training.

Central Repository/Single Sign On

Having one central repository for training is key to keeping your training resources organized and accessible. This prevents multiple versions of documents from floating around on individual OneDrives and desktops. The expectation that any changes to training documentation must be updated in the repository once materials are posted is set at the beginning of training development to keep everyone aligned. This allows for ease of collaboration amongst trainers and enables the trainers to direct all trainees who are looking for reference materials to one place. This also allows end users to go back in as often as they need to practice repeatedly until they feel confident in the materials and is especially beneficial for helping trainers who are navigating different time zones.

SharePoint is a user-friendly platform that integrates well with SAP Enable Now, as SAP Enable Now provides the capability to enable your organization’s Single Sign On (SSO). If your organization enables SSO, users can access SAP Enable Now links without having to navigate through the SAP Enable Now webpage. Users can be set up in the SAP Enable Now environment with Learner roles that allow them access to open and view all training links within the organization’s landscape. Working with your IT team to turn on SSO will provide you with the opportunity to store all your materials in one central repository.

Sustainability

Once you have created a successful training repository, we cannot stress enough how important the sustainability of materials moving forward will be. As we all know, processes change, employees transition roles, and materials require updating to reflect the latest methods. Do not let all your hard work go to waste!

When creating materials, think about what sustainability will look like in the long run. For implementation projects, we recommend focusing on the new system so that the materials created can be leveraged to train new hires as they onboard. Transitionary documents can be created to help explain nuances from the old system to the new system for current employees, but to get the most out of your training, think about how it can continuously be leveraged.

Don’t wait until the materials are so out of date that it feels like a tremendous lift to start updating them. When materials are initially completed, designate specific individuals and establish expectations for updating materials to keep them up to date in a timely manner with any changes that come along. Transferring knowledge on how to maintain materials and updating them as processes change is the best practice for all involved.
